What this policy covers
This policy applies to Ellis Ventures, LLC and to this website. It covers information we collect from website visitors, prospective and current rental applicants, and residents of the homes we own.
Information we collect
This website has no message form and no analytics of our own. If you reach us, you do it by phone, by email, or by post, and what we hold is whatever you chose to tell us in that message.
Rental applicants and residents provide substantially more, because a tenancy requires it: identification, income and employment verification, rental history, and the results of credit, eviction, and background searches. Residents additionally generate payment records and maintenance history over the life of a tenancy.
Our web host records standard technical information such as IP address, browser type, and pages requested, as part of serving and securing the site. The resident portal and the maintenance intake are operated by third parties under their own privacy policies.
How we use it
- To answer your enquiry about a property
- To evaluate rental applications against our published screening criteria
- To administer a lease: rent, notices, renewals, and maintenance
- To meet legal, tax, and fair-housing record-keeping obligations
- To protect the property and the people in it
We do not sell personal information, and we do not use it to build advertising profiles.
Who we share it with
Only where the work requires it: screening providers who run credit, eviction, and background searches with your authorisation; contractors who need an address and a description of the fault to complete a repair; our accountants and attorneys; and the vendors who host the resident portal and the maintenance intake. Each receives the minimum needed to do the job. We also disclose information where the law compels it.
How long we keep it
Application records are retained for the period fair-housing and lending rules require, whether or not the application was approved, because the record of a consistent standard is the evidence that the standard was consistent. Lease and payment records are kept for the statutory retention period after a tenancy ends. Enquiries that never become applications are deleted once they are plainly stale.
Your choices
You may ask what we hold about you, ask us to correct it, and ask us to delete anything we are not required to keep. Write to the address below or call the office line. We will verify who you are before acting, because releasing a tenancy record to the wrong person is its own harm.
Children
This site is not directed at children and we do not knowingly collect information from them. Minor occupants appear on a lease as household members; they are not screened as applicants.
Changes
If this policy changes, the revised version is posted here with a new date at the top. Material changes will be described rather than slipped in.
